Who is buying, who is attending, and who may change the booking?

A form that asks for one name can hide several different relationships. The person paying for a workshop may book for a friend. A company contact may arrange an appointment for a colleague. If the system assumes the buyer and attendee are always the same person, a later correction can change the wrong record.

These are useful questions to settle before selecting fields or integrating a booking provider. They affect confirmations, amendments, language preferences and the information staff need to deliver the service.

Follow a booking made for someone else

In a fictional Costa Rica workshop, Ana buys a place for Luis. Ana is the purchaser and the booking contact; Luis is the attendee. The current form has a single “Customer name” field, which staff initially populate with Ana's name.

When Ana clarifies who will attend, a staff member changes the name to Luis. The next receipt and customer correspondence now address Luis, even though Ana remains the purchaser. The system has used one field for two distinct roles.

Review the approved commercial arrangement before changing the data model. The business decides which person receives payment correspondence, which attendee details are needed and how a booking made for another person is authorized. Appropriate privacy and commercial advice may be required; software should implement the resulting decisions without inventing them.

Preserve the relationship during an amendment

For this example, the approved record now distinguishes purchaser Ana, booking contact Ana and attendee Luis. The business verifies Ana's amendment request through its established process and changes the attendee from Luis to Marta. Ana's purchaser and contact details remain unchanged. The confirmation explains the new attendee arrangement without rewriting the identity of the buyer.

A separate booking where the buyer is also the attendee still works. Staff do not have to invent a different person simply because the model allows one. An unrelated attendee's record is not changed by the amendment, and the previous booking history remains understandable to authorized staff.

The outcome is a defined relationship and a correctly scoped amendment. Adding three unlabeled name fields would not establish either.

Ask the questions that follow from it

Which messages go to the booking contact, and which information does the attendee need directly? Does the attendee receive a separate message only after an agreed permission or invitation step? What happens when an address is missing? Avoid sending personal information to a guessed recipient merely because the booking is otherwise complete.

Language preference also belongs to a person or communication, not automatically to the entire order. Ana may request English correspondence while Marta needs Spanish attendance instructions. Identify the content and review arrangement required for each message. Do not assume that a Spanish public page establishes staff availability to conduct every project or service interaction in Spanish.

Payment, refund and invoicing details need their own approved relationships. A change of attendee does not automatically authorize changing the purchaser, redirecting a refund or altering an invoice. Make those separate decisions visible in the scope and leave professional determinations with the appropriate people.

Test the relationship across the journey

Review the initial form, staff record, confirmation, attendee instructions and amendment history using fictional details. Ask staff to identify the buyer and attendee from each relevant view. Inspect exports and provider handoffs as well: a correct internal screen is insufficient if an integration collapses both roles back into one field.

Where the existing provider cannot represent the approved distinction, record the limitation and choose a supported approach. That may mean a narrower first release or a deliberate staff step. Quietly repurposing a field with a different meaning makes future maintenance harder.

Bring one example of a person arranging a service for someone else to project planning. Faith Forge Labs can help trace the information and design an implementation that preserves the relationships your organization has actually approved.
