A booking provider controls confirmed capacity while an internal tool holds pickup instructions. A colleague changes the pickup point while the connection is unavailable; meanwhile, the customer asks for a different departure. Restoring the connection must not turn either change into a promise that staff have never checked. We build system connections around those separate decisions.

Separate the instruction from the reservation

For a fictional activity business, the pickup note describes where to meet. It does not reserve places on another departure. Identify the provider record that confirms capacity, the internal record that owns the instruction and the reference connecting them. An edited pickup note should update that field without sending an old departure date back into the booking provider.

The requested date change can wait for staff review while the confirmed departure remains visible. Before offering the alternative, staff need the provider's current capacity result and any shared-resource check the business requires. A green calendar based on an old copy is not enough.

Choose a useful first connection

A paid access review can trace one reservation and one pickup update through the actual provider accounts. Subject to supported interfaces, an implementation can carry that limited change and show outstanding requests to the staff responsible. If the provider cannot support a safe reservation change, a clear manual confirmation step may be the appropriate first release.

Resume after the customer has changed their mind

In a test environment, interrupt the connection, edit the pickup note and request a later departure. When access returns, check that the confirmed reservation has not moved silently, the pickup instruction is current and the date request still needs an explicit decision. Repeat a notification and inspect the destination record rather than judging success from the sending screen.

The proposal records the supported exchange, permissions, visible exceptions and handover. Tax or invoicing decisions stay with your accountant and chosen provider.
